How to send out a survey

To distribute a survey, go to "surveys" as a leader. Here, you will find active, completed, drafted and scheduled surveys.

    1. Send out a new survey

    1. Click on "new distribution" to start a new survey.
    2. Give the distribution a name.
    3. Select the survey you want to send out.

    Note: If you cannot find the survey you wish to distribute, the administrator has to make the survey available for distribution. - see how

    2. Select a deployment option

    Alt. 1: Create & send immediately - meaning after you have created the deployment you wish to send it immediately. Go to instructions.

    Alt. 2: Create & schedule deployment - meaning you wish to schedule the survey and send it later. Go to instructions.

    3. Once you have selected a survey click "create".

    4. Fill in:

    • Survey close date: Set the date for when the survey will close.
    • Number of days for reminder: this counts for whole days, and starts from the day after distribution. If you have a 3-day reminder, the reminder will arrive the morning of day 4.
      • Ex. if you send out the 1st, the reminder will arrive early on the 5th
    • Introduction to the survey: Write the introduction to the survey which will be shown on the first page of the survey. If you have chosen a survey for development conversation there will already be a text filled in as a suggestion.
    • E-mail to recipient: Write the e-mail the recipients will receive when you send out/distribute the survey. If you have chosen a survey for development conversation there will already be a text filled in as a suggestion.
    • E-mail reminder: Write an e-mail reminder for the ones who have not completed the survey within the date of the reminder. The recipients/employees will receive an e-mail (+reminder) with a link to the survey. If you have chosen a survey for development conversation there will already be a text filled in as a suggestion.
    • Anonymous: Check it off if you wish the respondents of the survey stay anonymous.

    NB! If you choose to keep the respondents anonymous you have to make sure there are minimum 5 respondents in the selection you wish to retrieve the reports of. If there are less than 5 respondents you will not be able to retrieve the reports for this exact selection.

    • Select recipients: Who will receive the survey? Select individuals, entire departments or the entire company.

    Remember: To retrieve the total result in the company, the survey must be sent out to all employees at the same time. Additional recipients can be added later. See how: add recipients

     

    Can I leave the draft and resume later?

    Yes.

    After you have named the distribution, selected a survey and clicked "create", the draft will be automatically saved to "Drafts", and you can resume the distribution later.

    4. Fill in:

    • Select recipients: Who will receive the survey?
      • The names that appear in the list to the right after you have checked them off, are the ones who will receive the survey. You can make changes to the distribution until the send date.

    Note! After you click "create & schedule deployment" you can still make changes to the distribution until it reaches the send date. You will find the distribution in the "scheduled" section.
